What Your Day Will Look Like:

As a Project Coordinator / Document Controls professional supporting TxDOT transportation projects, you will play a key role in ensuring project documentation, communications, and administrative processes are organized, accurate, and compliant throughout the project lifecycle. Working closely with project managers, technical staff, clients, subconsultants, and corporate support teams, you will coordinate project records, contract-related documentation, deliverables, and project communications to support the successful delivery of transportation infrastructure projects. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining the integrity of project information and supporting efficient project execution.

What You'll Do:

  • Coordinate project documentation and administrative activities for TxDOT and other transportation projects, supporting project teams from project initiation through closeout.
  • Prepare, process, distribute, and maintain project-related documents, including client agreements, subconsultant agreements, work authorizations, task orders, amendments, and project correspondence.
  • Maintain project files and document control systems to ensure records are complete, accurate, organized, and compliant with company and client requirements.
  • Manage document workflows, including routing documents for review and approval, tracking revisions, maintaining version control, and ensuring timely distribution to project stakeholders.
  • Serve as a primary point of coordination between project managers, technical staff, accounting personnel, clients, subconsultants, and corporate support teams regarding project documentation and administrative requirements.
  • Assist project teams with document submissions, deliverables, reports, and project records in accordance with TxDOT procedures and project-specific requirements.
  • Track critical project documentation, milestones, and action items to support schedule adherence and project compliance.
  • Coordinate receipt, review, execution, and distribution of client and subconsultant agreements and maintain accurate records of executed documents.
  • Support project startup and closeout activities, including project setup, file management, document retention, and records archiving.
  • Coordinate project-specific insurance certificates and assist with related compliance documentation as needed.
  • Assist with data collection, reporting, and administrative support activities to help project leadership monitor project status and maintain operational efficiency.
  • Contribute to continuous improvement of project coordination, document management, and administrative processes across the Transportation business line.


What You'll Need:

  • Associate's degree in Business Administration, Project Management, Engineering Technology, Construction Management, or a related field; or equivalent combination of education and experience.
  • 3+ years of TxDOT experience in project coordination, document controls, project administration, contract administration, or a related role within the engineering, consulting, construction, or transportation industry.
  • Experience managing project documentation and records in a deadline-driven environment.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Demonstrated attention to detail and commitment to data accuracy and document integrity.
  • Ability to work collaboratively with project managers, technical staff, clients, subconsultants, and corporate support teams.
