Virtual Assistant – Lead Generation, Partnerships & Zapier Automation (U.S.-Based | Part-Time)
Hours: Approx. 2 hours/day, Monday–Friday
Rate: $9-12/hr (depending on experience)

About the Role

We’re seeking a proactive and tech-savvy Virtual Assistant who can help a growing career coaching company expand its partnerships, streamline lead generation, and manage key automation systems.
You'll support the founder with tasks that connect marketing, outreach, and operational workflows.

This is not a basic admin role — we’re looking for someone who can think strategically, manage outreach systems, and own automation flows through Zapier and CRM tools.

Key Responsibilities

Partnership Outreach & Lead Generation

  • Research potential organizations, companies, or communities for event or partnership opportunities
  • Conduct outbound outreach using Apollo, LinkedIn, and other tools
  • Send follow-up messages and manage responses in a tracking sheet or CRM
  • Engage with potential partners and audiences on LinkedIn, Facebook, Reddit, and other platforms
  • Help improve outreach copy and messaging for better response rates
  • Schedule and confirm partnership or intro calls
  • Eventually handle initial vetting calls after training/shadowing

Automation & System Support

  • Learn and maintain Zapier automations (for marketing, lead flow, and coach onboarding)
  • Troubleshoot and fix broken Zaps or flows
  • Build and optimize new automations that improve team efficiency
  • Coordinate with the marketing manager or tech support when needed

Performance Tracking & Reporting

  • Track lead generation metrics and booked calls weekly
  • Highlight engagement rates, response improvements, and lead conversion insights
  • Collaborate with the client and KC team on system improvements

Qualifications

  • 2+ years of experience as a VA, marketing assistant, or business development support
  • Hands-on experience with Zapier (required)
  • Comfortable using LinkedIn, Google Sheets, Apollo, or similar outreach tools
  • Excellent written communication — ability to write engaging, professional outreach messages
  • Organized, detail-oriented, and comfortable tracking leads across multiple channels
  • Tech-savvy, curious, and willing to learn new automation or CRM tools
  • U.S.-based and available during EST hours (9am–4pm)

Preferred

  • Experience with lead generation, partnership development, or marketing automations
  • Understanding of the career coaching, education, or consulting industry
