We are currently partnering with a US-Based company to find a Tax Operations & Client Success Specialist who will ensure smooth tax operations and provide excellent client support remotely.

As a Tax Operations & Client Success Specialist, you will play a vital role in managing tax-related processes and fostering positive relationships with clients. You will collaborate with various teams to ensure tax compliance and deliver exceptional service to clients.

Key Responsibilities

Client Communication & Coordination

  • Manage client communications via phone and email.
  • Follow up on outstanding documents and requests.
  • Provide updates on tax return status and workflow progress.
  • Coordinate appointments and scheduling.
  • Route technical tax questions to the appropriate team members.

IRS & Tax Administration

  • Contact the IRS and Franchise Tax Board regarding notices and correspondence.
  • Pull tax transcripts and maintain detailed records.
  • Request penalty abatements and assist with administrative tax resolutions.
  • Research balances, payments, filing history, and notices.
  • Follow up on unresolved client matters.

Entity Filings & Compliance Support

  • Assist with LLC formations and business registrations.
  • Coordinate Secretary of State filings and Statements of Information.
  • Support S-Corporation election filings.
  • Track compliance deadlines and annual filing requirements.

Workflow & Operations

  • Coordinate quarterly estimated tax payment schedules.
  • Maintain internal tracking systems and spreadsheets.
  • Support tax return workflow management and delivery.
  • Keep client records accurate and up to date.
  • Serve as a liaison between clients and internal departments.

Requirements

  • Must be an IRS Enrolled Agent. This is required, not preferred.
  • Previous experience working in a U.S. tax office, CPA firm, or tax preparation environment.
  • Strong understanding of IRS processes, tax notices, transcripts, POAs, payment plans, and client tax documentation.
  • Experience communicating with the IRS and supporting clients with tax-related matters.
  • Excellent English communication skills, both written and verbal.
  • Strong administrative, organizational, and follow-up skills.
  • Ability to manage multiple client cases, deadlines, and urgent requests in a fast-paced environment.
  • High attention to detail and ability to handle confidential information professionally.
  • Comfortable using tax software, CRM systems, Google Workspace, Microsoft Office, or similar tools.
  • Client-facing experience is strongly preferred.
