Job Title: Receptionist/Data Entry Clerk

Department: Front Office

Reports To: Assistant Customer Service Manager

FLSA Status: Non-Exempt

SUMMARY

Responsible for greeting customers, directing calls, entering order data, providing excellent customer service, and performing a variety of tasks that contribute to the smooth and efficient operation of the Front Office/Customer Service Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Tasks may be shared with others in the department.
  • Answers phones and greets customers in a professional and courteous manner.
  • Routes incoming calls to the appropriate ACD group or individual.
  • Routes incoming emails in Zendesk to the appropriate group or individual and responds directly to customers where appropriate.
  • Enters orders directly into the order database.
  • Adds and edits customers in the customer database.
  • May sort incoming mail and open or distribute it based on addressee.
  • May assist with looking up customer accounts and/or entering payment information for checks received in the mail.
  • May prepare invoices for mailing.
  • May prepare outgoing mail with proper postage.
  • Assists members of other departments as needed.
  • Performs other clerical duties as needed.
  • Participates as a team member in daily operations including communicating pertinent information to the team.
  • Maintains regular and punctual attendance in accordance with scheduled work hours.
  • Works under immediate supervision. Relies on instructions and pre-established guidelines to perform the functions of the job.
REQUIRED SKILLS
  • Provides stellar customer service by maintaining professional working relationships with internal and external customers.
  • Attention to detail, both written and verbal.
  • Must be able to speak on the telephone, on and off, for 7-8 hours/day for 5 days/week.
  • Must be able to use a computer for data entry, information retrieval and lookup.
  • Must be able to maintain regular attendance in accordance with his/her scheduled work hours.
  • Familiarity with computer based phone systems such as Zoom, Shoretel, or Vonage.
  • Familiarity with instant messaging platforms such as Slack or Microsoft Teams.
  • Familiarity with Microsoft Word and Excel, Google Docs, and Google Mail and Calendar system.
