We are seeking a proactive and Customer Service Representative to support our Parts & Service departments. In this role, you will be the first point of contact for customers, handling inbound and outbound communications, scheduling service appointments, assisting with parts inquiries, and processing payments.

Your primary goal is to enhance the customer experience, increase service department traffic, and maintain strong customer relationships through professional and efficient service.

Key Responsibilities:

Respond to inbound calls, emails, and online inquiries regarding service appointments, vehicle maintenance, and parts availability.

Proactively make outbound calls for service reminders, promotions, follow-ups, and customer satisfaction surveys.

Schedule and confirm service appointments, coordinating with service advisors and technicians to optimize shop capacity.

Provide accurate and detailed information about recommended maintenance, warranty services, recalls, and available parts.

Assist customers in ordering parts, track availability, and follow up on order status to ensure timely fulfillment.

Maintain and update customer records in the dealership’s data management system.

Process payments for service and parts transactions, including handling cash and assisting with daily deposits.

Follow up with customers after service visits to ensure satisfaction, address concerns, and encourage repeat business.

Collaborate closely with the service and parts departments to ensure seamless customer interactions.

Meet or exceed performance targets, including call volume, appointment-setting, and customer retention goals.

Stay informed about current service specials, manufacturer recalls, and dealership promotions to provide customers with relevant information.Qualifications & Skills:

Previous experience in a BDC, customer service, call center, or automotive service-related role (preferred).

Excellent communication skills—both verbal and written—with strong active listening abilities.

Professional phone etiquette and a customer-first attitude.

Basic knowledge of automotive service and parts terminology (training available if needed).

Experience handling cash transactions and basic financial tasks.

Proficiency in CRM systems, dealership management software, and appointment scheduling tools.

Familiarity with Microsoft Office Suite (Word, Excel, Outlook, etc.)

Ability to multitask and thrive in a fast-paced, team-oriented environment.• Strong organizational skills with attention to detail and follow-through.

Self-motivated, goal-driven, and adaptable to changing priorities.

Ability to work flexible hours, including evenings and weekends as needed.
