The Healthcare Administrator is expected to have a working knowledge of all facets of the practice to ensure efficient and effective operation. The Healthcare Administrator is responsible for developing and managing relationships with families, clients, and staff; planning, developing, and organizing the day-to-day workflow; directing and evaluating operations and activities of each staff member. The Healthcare Administrator responsible for providing leadership and operations management throughout the clinic while reporting directly to the Clinic Director.

The Behavior Project provides clinic based ABA services in Overland Park, KS to kids first diagnosed with autism to age 6. We are BCBA owned and operated, with a focus on utilizing evidence-based ABA practices. With a specialty in early intervention, we are equipped to present comprehensive therapy in a natural and playful way. Our services include 1:1, parent support, school consultation, team collaboration, and much more!

RESPONSIBILITIES:

LEADERSHIP: Leads employees to accomplish all job objectives; inspires confidence and motivation; clearly defines expectations, and maintains personal effectiveness under pressure.

  • Lead by example by being completely versed and embodying the company’s mission, vision, and core values and acting as an integral support person for the organization, staff, and families to uphold TBP’s highest quality of care
  • Fosters teamwork within the clinic
  • Demonstrates appropriate delegation and coordination of tasks and duties in the operations of the clinic, using appropriate organizational/priority setting skills (Operations Assistant, RBT: late clients)
  • Receives constructive criticism/feedback from supervisors and uses that feedback to improve and grow in role
  • Portray a positive attitude and maintain a customer and co-worker satisfaction level that limits adverse situations or complaints.
  • Promote TBP philosophies, generating team spirit and maintaining an environment that fosters staff satisfaction, and maximizes productivity
  • Responsible for creating systems to be able to effectively and efficiently complete job responsibilities and reporting
  • Identifying when additional policies & procedures are needed or if modifications should be made to current
  • Supports Clinic Director with disciplinary actions and discharges appropriate employees of the clinic according to the policies and procedures of TBP
  • Proposes options for solving staffing problems that are within acceptable parameters and utilize appropriate resources
  • Identifies a struggling RBT and checking in with them to ensure they have the supports they need to be successful or alert clinical team
  • Manages and assigns duties to operations assistant as appropriate
  • Redirection of employees failing to execute company mission, vision, and/or policies & procedures to the quality and level required (duties, communication, documentation)

COMMUNICATION: Determines and demonstrates effective communication methods and defines appropriate lines of authority for the clinic in keeping with the administrative structure

  • Uses all methods of communication to disseminate information to staff on time (including but not limited to schedule changes, call-outs, need for temporary staffing support from another location, separations, emergency situations, parent notice of injury/basic need supplies, received payments, damages requiring further inspection or work outside scope, information that impacts another individual or their duties, etc.)
  • Utilizes formal lines of communication to promote problem-solving and decision making and to communicate results according to a communications plan
  • Responds to client/staff call outs with any necessary schedule updates in a timely manner
  • Reports all pertinent information about operational happenings to the directors and executive team daily. Emergency information is to be reported immediately.

TECHNICAL: Demonstrates appropriate competency in selected skills that are pertinent to areas of responsibility.

  • Efficient use of systems: practice management, HRIS
  • Ability to create and modify spreadsheets, shared documents, drives
  • Expert ability to multitask, prioritize, and stay organized in a demanding environment
  • Executes schedule updates based on rules for highest level of quality care/consistency for clients
  • Follows schedule modifying procedure when client schedules need to be modified
  • Monitors staffing and client attendance in compliance with TBP’s standards and takes necessary action to rectify any problems
  • Prepares celebrations Team Tuesdays (see social media), birthdays, anniversaries a month in advance
  • Tracking, daily reporting and the execution of duties and business activities, the accuracy of employee execution of duties, client expectations and care, action items affecting clients, staff, and/or business operations, incident reports, damages on designated daily report
  • Follows and executes the outlined TBP client and staff onboarding procedure
  • Supports HR Coordinator with timely preparation of all pertinent documentation and steps for certifications, authorizations and other position requirements.
  • Manages new client or new employee onboarding/intake processes from communication, paperwork, scheduling, etc.

ENVIRONMENT/ORGANIZATION: Sets and communicates clinic standards in keeping with regulatory agencies and TBP’s policies. Develops and monitors standards to comply with safety, infection control, and client relations standards.

  • Maintains an aesthetic environment within the clinical setting and adheres to TBP’s policies.
  • Enforces clinic responses to emergencies
  • Enforces OSHA and Infection Control Standards for clinic
  • Maintains a safe, clean, orderly, pleasing environment
  • Oversees and assists as needed to ensure all opening/closing duties of the clinic are performed timely and accurately
  • Tracking and documentation of required purchases and purchase orders to keep clinic and programming at a proper and adequate operating level
  • Conducts weekly audits of medical logs and monthly client specific medical training steps with med certified staff
  • Executes regularly scheduled safety drills
  • Audits med administration binder to ensure all information is being recorded and recorded correctly
